    1. Aged care and community services · WA, NSW and ACT

      BaptistCare

Governance first, then Copilot. Now staff get hours back every week.

      The challenge

With an aged care workforce shortage coming, every hour of staff time counts. Some people were fielding up to 300 emails a day, and that was time away from residents and clients.

      What they did

Before switching Copilot on, they audited permissions and access and ran a security review. Every licensed user signed a usage agreement and completed safe-use training, backed by a Copilot centre of excellence in SharePoint. Copilot now handles email, Teams meeting notes and first drafts, alongside a policy chatbot and AI that sorts service desk tickets.

US$1Min risk and non-compliance costs avoided, per a validation assessment

      The challenge

IT was split across departments, data wasn't classified consistently, and more than 20 regulatory regimes applied. Oversharing had to be dealt with before Copilot could be trusted with the county's data.

      What they did

A four-person security team rolled out Microsoft Purview over six months: automatic sensitivity labels, data loss prevention and eDiscovery, with six weeks of user training. Access reviews and training are now the gate for a controlled Copilot pilot.

    3. Audit, tax and advisory · Six offices, Australia

      Grant Thornton Australia

Training turned Copilot into the thing that makes a nine-day fortnight work.

      The challenge

The firm had moved permanently to a nine-day fortnight and needed real productivity gains to sustain it without burning people out. Data security had to be sorted before generative AI went near client work.

      What they did

They started small with web-based Copilot, then grew from 300 to 500 Microsoft 365 Copilot users as demand built. Adoption came from workshops and lunch-and-learns, reverse mentoring where junior tax staff coached senior partners, and a steering committee watching data and AI risk.

      The challenge

Teachers and school leaders were spending evenings and weekends on reports, paperwork and parent emails, squeezing the time they had for planning and for pupils.

      What they did

A three-year Copilot rollout, starting with heads, deputies and central staff. Training goes well past the basics, with ongoing professional development and usage tracking so nobody is left with a licence they don't know how to use.

    5. Youth not-for-profit · Gold Coast, QLD

      Everything Suarve

A tiny team swapped paper files for automated workflows and got back to the kids.

      saved on every participant's enrolment

taken off the time to complete a grant application
2 weekstaken off the time to complete a grant application

      The challenge

A small team and its volunteers were buried in paper files, missed referrals and grant reports pieced together from hand-tallied spreadsheets. All of it was time taken from the young people in their program.

      What they did

A Power Apps system on Dataverse and SharePoint now runs enrolment, case management and reporting. Power Automate sends the follow-ups, notifications and alerts that used to slip, and Copilot drafts grant summaries, checklists and emails.

    6. Higher education · Perth, WA

      Edith Cowan University

One data platform instead of several, at half the cost, and people actually use it.

3.5xmore weekly active users, with governed access for about 2,000 staff

      The challenge

Reporting was spread across duplicated tools, so access and governance were manual and costs kept climbing. Self-service was weak, which tied the central data team up building reports for everyone else.

      What they did

They consolidated onto Microsoft Fabric with Power BI as the one reporting layer. Shared data models and role-based access are defined once, with access handled automatically through existing Entra ID groups, and the duplicate platforms were switched off.

      Life Without Barriers

They found where the sensitive data really lived before locking anything down.

      8.3M+business activities monitored

      The challenge

Fast growth left legacy systems, siloed data and a patchwork of separate security tools, with blind spots and too much admin. Meanwhile they hold sensitive health and financial records for more than 16,000 clients.

      What they did

They moved onto the Microsoft security stack: Defender across email, devices, identities and cloud apps, Entra ID role-based access, and Purview with classifiers tuned to how their teams really work. Purview ran quietly first, mapping how data moved before any controls were switched on.

45 minto write reports, down from 90 minutes or more (internal reports)

      The challenge

The school holds sensitive student data with strict governance obligations, but has no dedicated security specialist on staff. Teachers were also carrying a growing admin load.

      What they did

Purview, Defender, Sentinel and SharePoint Advanced Management cover security and governance, with Security Copilot helping the small IT team triage. An AI task force, approval process and student AI policy came first, then Microsoft 365 Copilot went to every department with targeted training and internal champions.
